2. Information We Collect

Identifiers: Name, postal address, email address, telephone number (including mobile phone number), and other similar identifiers. For contracted agents and brokers, we also collect license and business information.

Insurance Information: Policy numbers, coverage details, claims history, and information about the insured property, including its address, characteristics, and photographs.

Commercial Information: Records of insurance products purchased, obtained, or considered.

We do not collect Social Security numbers or driver's license numbers.

Geolocation Data: General location information derived from your IP address.

3. How We Use Your Information

We use the personal information we collect for the following business and commercial purposes:

To provide insurance services, including processing applications, underwriting policies, administering claims, and managing your policy; to communicate with you about your policy, including policy renewal reminders, payment status, and other service-related messages via email, mail, telephone, or text message (SMS); to communicate with contracted agents, brokers, vendors, and business associates about quotes, submissions, policy servicing, and account support; to track premium payment status and prevent fraud; to comply with legal and regulatory requirements; to improve our website, products, and services; to respond to your inquiries and provide customer support; and to send marketing communications by email or mail where permitted by law. We do not send marketing communications by text message.

4. SMS/Text Message Communications

This section specifically addresses how we collect and use your mobile phone number for SMS text message communications. Full program details are available in our SMS Terms & Conditions.

4.1 Consent to Receive Text Messages

Policyholders. By providing your mobile phone number and opting in to receive text messages from us (for example, by checking the SMS consent checkbox on our policy application or renewal form), you expressly consent to receive text messages from Flow Insurance Services, Inc at the mobile number you provided. These messages may include policy renewal reminders, payment due notifications, claims status updates, and other information related to your insurance policy.

Agents, brokers, vendors, and business associates. You consent to receive text messages from Flow Insurance Services, Inc when you provide your mobile phone number and agree to receive text messages in our producer agreement, when you give verbal or written consent directly to a Flow employee, or when you initiate a conversation by texting us first. These are one-to-one business messages about quotes, submissions, policy servicing, scheduling, and account support.

Consent to receive text messages is not a condition of purchasing insurance, contracting with us, or obtaining any other goods or services from us.

4.2 Message Frequency and Charges

Message frequency varies based on your policy, account activity, or the business being conducted. Message and data rates may apply depending on your mobile carrier and plan. We do not charge for text messages, but your carrier's standard messaging rates may apply.

4.3 How to Opt Out of Text Messages

You may opt out of receiving text messages at any time by replying STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, OPTOUT, or REVOKE to any text message you receive from us. Upon receiving your opt-out request, we will send you a single confirmation message, and you will no longer receive text messages from us unless you re-subscribe. You may also contact us at 855-368-5502 or privacy@flowinsurance.com to opt out.

4.4 Help and Support

For help with our SMS program, reply HELP to any text message or contact us at 855-368-5502 or support@flowinsurance.com. Opting out of text messages will not affect your insurance policy, your agent contract, or your ability to receive important communications through other channels such as email or mail.

4.5 No Sharing of Mobile Information

Mobile phone numbers and SMS opt-in data and consent are not sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. All categories of disclosure described in Section 5 exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, other than SMS service providers that deliver messages on our behalf.

5. Disclosure of Your Information

We may share your personal information with the following categories of third parties:

Service Providers: Companies that perform services on our behalf, such as policy administration platform providers, payment processors, IT and cloud service providers, claims administrators, and SMS service providers. These providers are permitted to use your information only for the purposes of providing services to us.

Business Partners: Insurance carriers, reinsurers, agents, and brokers involved in underwriting or administering your policy.

Legal and Regulatory: Government agencies, law enforcement, courts, or other parties when required by law, subpoena, or other legal process, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Corporate Transactions: In connection with a merger, acquisition, bankruptcy, or sale of assets, your information may be transferred to the acquiring entity.

6. Sale or Sharing of Personal Information

Flow Insurance Services, Inc does not sell your personal information for monetary consideration. Our website uses the third-party advertising and analytics tools described in Section 9. The information those tools collect about website visitors may be considered "sharing" for cross-context behavioral advertising under California law. You may opt out as described in Section 9. We do not provide policy or application information to advertising providers.

7. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. The retention period may vary depending on the context of the processing and our legal obligations. For insurance records, we typically retain information for at least seven years after the policy expires or a claim is resolved, or longer if required by law.

8. Data Security

We use reasonable administrative and technical measures designed to protect your personal information, including access controls, password management, and the use of established third-party cloud platforms that maintain their own security programs. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

9. Cookies and Tracking Technologies

Our website uses cookies and similar tracking technologies to enhance your browsing experience, analyze website traffic, and understand where our visitors come from. These include third-party advertising and analytics tools such as the Meta (Facebook) Pixel and the LinkedIn Insight Tag. These tools collect information about your visit, such as your IP address and the pages you view, and the providers may use that information to measure and deliver advertising.

You can control cookies through your browser settings, and you can adjust advertising preferences in your Meta and LinkedIn account settings. You may also ask us to opt you out by emailing privacy@flowinsurance.com. Please note that disabling cookies may affect the functionality of our website.
